Privacy policy
Archfix runs Archfix, a quality-control platform for construction projects. This policy explains what personal data Archfix handles, why, who else receives it, and how to ask us to change or delete it.
Who we are
Archfix is the controller of the personal data described here. For anything about your data, write to support@archfix.ge.
Archfix is used by construction companies and their project teams. Accounts are created by a company administrator; there is no public sign-up.
What we collect
- Account details: name, email address, company, role and the projects you are assigned to.
- Project records: tickets, tasks, inspection and test forms, reports, photos, drawings, documents and comments that you or your team create.
- Messages to the Archfix bot: text, photos, voice notes and files you send through WhatsApp, by email to qc@archfix.ge, or in Archfix chat, together with the sender’s phone number, WhatsApp user ID or email address, and the bot’s replies.
- Technical data: sign-in times, IP address, device and browser type, and a log of every action the AI assistant takes.
How we use it
- To run Archfix for your company: storing project records and showing them to the people with permission to see them.
- To turn a message into a proposed record, such as a ticket or a delivery, which a person must confirm before it is saved.
- To answer questions you send the bot, using only what your own Archfix permissions let you see.
- To keep Archfix secure, investigate misuse, and keep an audit trail of changes.
We do not sell personal data, use it for advertising, or use it to train AI models.
Archfix uses the WhatsApp Business Platform from Meta. Only messages sent to the Archfix number reach us; we never see your other chats.
- A WhatsApp account is linked to an Archfix user only when that user sends a one-time code from their own phone.
- Messages from WhatsApp accounts that are not linked are stored so a project coordinator can see the attempt. They are not answered and are not read by AI.
- A chat export you share with Archfix contains other people’s messages. Share one only when the people in it know that their site messages are recorded in Archfix.
Who else receives data
We use these service providers to run Archfix. Each receives only what it needs for its task.
- Meta Platforms carries WhatsApp messages between you and the Archfix number.
- Zoho Corporation hosts the qc@archfix.ge mailbox, in its European data center.
- Google (Gemini API) reads photos, voice notes and text so the bot can understand a message and draft a reply. We use the paid service, under which Google does not use the content to improve its products.
- Our hosting provider runs the servers that store Archfix data.
If we replace or add a provider for any of these tasks, we will update this list first.
How long we keep it
Project records and the messages that produced them are part of the project’s quality record, so we keep them for as long as your company uses Archfix and does not ask us to delete them. Account details are kept while the account exists.
Security
Data is encrypted in transit. Every person and every AI action is limited to the permissions of the Archfix user involved, and every AI action is logged. Publishing, approving and deleting records always need a person.
Your rights
You may ask to see the personal data we hold about you, to correct it, to have it deleted, or to object to how we use it. Write to support@archfix.ge; we answer within 30 days. You may also complain to the Personal Data Protection Service of Georgia.
Deleting your data
- To stop the bot reading your WhatsApp messages, disconnect WhatsApp in your Archfix settings. The link is removed at once.
- To delete your account or your messages, email support@archfix.ge from the address on your account, or ask your company’s Archfix administrator. We confirm by email when it is done.
- Records your company needs as part of a project’s quality record may be kept in anonymised form, with your name removed.
Children
Archfix is a work tool for adults and is not meant for anyone under 16.
Changes
When this policy changes we update the date at the top of the page, and tell account holders by email about any important change.
